Maintenance plans are the closest thing HVAC has to a steady paycheck. They smooth out slow seasons, keep your techs busy in spring and fall, and put you first in line when a system finally needs replacing. The hard part is learning how to sell HVAC maintenance plans without sounding like you’re pushing an extended warranty.

Sell the benefit, not the visit

“Two tune-ups a year” is a feature. Homeowners care about what it gets them:

  • Priority scheduling when everyone else is waiting three days
  • No overtime or after-hours fees for members
  • A discount on repairs and parts
  • Fewer surprise breakdowns and a longer-lasting system
  • Someone they trust already knows their equipment

Lead with the one your customers care about most. In places with brutal summers or winters, from Phoenix to Winnipeg to western Sydney, it’s almost always priority service.

Keep the pricing simple

One or two tiers is plenty. A monthly price feels smaller and makes renewals automatic, while an annual price suits customers who’d rather pay once. Show the math in plain terms: if a member saves on a single repair, the plan has already paid for itself.

Ask at the right moment

The best time to offer a plan is when the customer is already happy with you:

  • Right after a repair or tune-up, while the tech is still on site
  • On the invoice and the follow-up text
  • At the end of a replacement install, with the first year included or discounted

Give your techs a short, honest script and a reason to care, like a small bonus for every plan sold. Techs who believe in the plan sell far more than office staff ever will.

Market plans to your existing customers

Anyone who’s used you in the last two years is a great prospect. Send a short email and text sequence before peak season explaining what members get. Our follow-up email guide and SMS marketing guide show how to set these up once and let them run. If you’re in Canada or Australia, check the consent rules first: CASL, CAN-SPAM and the Spam Act explained.

Run ads to new homeowners too

Maintenance plans make a strong Facebook offer, especially just before heating and cooling season. Use a real tech on camera explaining what members get and why it matters. Here’s how to structure those campaigns: Facebook ads for HVAC companies.

Make renewals automatic

Most lost members aren’t unhappy. They just never got asked again. Use auto-renew where your local rules allow it, send a reminder before the renewal date, and book the next tune-up before you leave the house. Members with a visit on the calendar rarely cancel.

Deliver what you promised

If members wait as long as everyone else during a heat wave or cold snap, they won’t renew and they’ll tell their neighbors. Protect the priority promise, even if it means holding a few slots open during peak weeks.

The bottom line: To sell HVAC maintenance plans, lead with priority service and ask while the customer is happy.
